This notice explains what personal information Fairbridge Motors collects through this website, the trade portal and when you buy a car from us, what we do with it, how long we keep it, and your rights.

Who we are

We are the controller of the personal information described here. For anything about your information, contact us using the details above.

What we collect, and why

When you send an enquiry about a car. Your name, your phone number or email address, whether you are a private or trade buyer, your message, and the car you asked about. We also record your IP address and your browser's description with the enquiry, to help us spot and block misuse of the form. We use this to reply to you and to follow up on that enquiry. Our lawful basis is our legitimate interest in answering the people who contact us, and taking steps you ask for before a possible sale. The enquiry is sent to our email inbox and a copy is kept on our web server so that no enquiry is lost if an email fails.

When you sign up for new-arrival alerts. Your full name, email address, contact number and town or city, and the date and wording of what you agreed to. We use them to email you when we list new cars and pre-orders, and your number only if we need to reach you about your sign-up. Our lawful basis is your consent, which you give by ticking the box and can withdraw at any time with the unsubscribe link in every email. To stop the form being misused, sign-up attempts are counted for one hour against a scrambled code made from your connection's address; the address itself is not stored. We also note when you signed up, signed up again or unsubscribed. That note holds a random reference number, never your name or contact details, so once you unsubscribe and your details are deleted it no longer identifies you.

When you apply for a trade account. Your business name, contact name, email address and phone number, and anything else you choose to give (address, company number, VAT number, a note about your business), plus your IP address. We use this to decide whether to open an account for you. Our lawful basis is our legitimate interest in checking who we trade with.

When you have a trade account. Your username, your contact details, and your password — which we never store; we keep only a secure one-way hash of it. To protect accounts from password guessing, failed sign-in attempts are counted against the IP address they came from, and those records are cleared after 15 minutes. Changes made through an account, such as a password change, are recorded against its username. Our lawful basis is providing the service you signed up for. When you use the trade portal we also record, against your username, when you sign in and out, sign-in attempts on your account that were refused, the last time your account was used, and which cars you open, enquire about or download the photos of. We use this to follow up with the trade buyers interested in a car and to notice misuse of an account, which is our legitimate interest in running the portal. We also email trade account holders when we list a new car, trade offer or pre-order; that is in our legitimate interest in selling to the trade buyers who asked for an account, and every such email has a link to switch them off.

When you buy a car. Your name, address, postcode, phone number and email address, your company name if you buy as a trader, the car, the price, and how much you paid and by what method (we do not keep card numbers). We use this to complete the sale, issue your invoice, and meet our legal obligations, such as keeping accounting records. Our lawful bases are performing our contract with you and complying with the law.

When you browse the site. We count visits without cookies and without storing your IP address or browser details. A count records only the page or car viewed, the time rounded to the hour, whether the device was a phone or a computer, and the name of the website that sent you (for example, a search engine). This does not identify you. Like every website host, our hosting provider keeps standard server logs, which include IP addresses, to run and secure its service.

Who we share it with

We do not sell your information. We send new-listing emails only to people who signed up for new-arrival alerts and to trade account holders, never to anyone who contacted us for another reason, and every one of those emails has an unsubscribe link. We use these service providers to run our business:

We also share information where the law requires it, for example with HM Revenue & Customs or the DVLA. If you use the WhatsApp share button, WhatsApp opens on your device under its own terms; we receive nothing from it.

Our providers store information on servers outside the UK: this website is hosted in Singapore, and Google may store information in the United States.

How long we keep it

Your rights

You have the right to ask for a copy of the information we hold about you, and to ask us to correct it, delete it, restrict how we use it, or send it to you in a portable format. You can object to our using it on the basis of legitimate interests. Some rights are limited — for example, we must keep sales records for the period the law requires. We will reply within one month.

Changes to this notice

If we change how we use personal information, we will update this page and the date at the top of it.
